Responsibilities
• Process orders from wholesale clients and distributors, ensuring accurate confirmation and fulfillment dates.
• Allocate inventory to customers systematically, managing potential shortages and proactively notifying clients of any product shorts.
• Schedule Less-Than-Truckload (LTL) transportation for inbound and outbound shipments to and from 3PL warehouses.
• Ensure all freight movements are aligned within strict lead times to maintain an industry-leading on-time delivery rate.
• Utilize specialized customer EDI and vendor platforms (such as SPS Commerce) to secure shipping approvals, submit packing lists, and transmit invoices.
• Generate detailed bills of lading (BOLs) and receiving notices for carriers and 3PL warehouses, including Versacold.
• Audit and confirm shipping quantities, lot numbers, and arrival/departure dates of incoming and outgoing inventory.
• Research and evaluate LTL trucking providers to optimize shipping lanes, reduce freight costs, and improve transit times.
• Coordinate and communicate directly with international freight forwarders to manage export logistics for European shipments.
• Assist with critical business administration and accounting tasks, including processing credit notes, invoicing, and deduction reconciliations during the QuickBooks-to-NetSuite platform transition.
• Support the sales and marketing departments by occasionally attending regional trade shows and client meetings to showcase premium food products.
Qualifications
• 2 to 4 years of proven experience in logistics coordination, cargo and freight shipping, or high-level business administration.
• Practical experience working with third-party logistics providers (3PLs) and booking commercial LTL carriers.
• Hands-on experience or formal training with EDI software (SPS Commerce preferred).
• Intermediate-to-advanced Excel skills (pivot tables, lookup functions, and data sorting).
• Familiarity with accounting principles, invoicing, and ERP databases (experience transitioning from QuickBooks to NetSuite is highly valued).
• Ability to travel occasionally to attend domestic trade shows and collaborate with sales teams in Calgary, Vancouver, or Toronto.
