As a Sales Admin Support coordinator, you will play a pivotal role in maintaining a seamless, fast-paced sales environment. • Create detailed estimations and formal sales proposals for 5 dedicated sales people to win new business contracts.
• Act as the central point of contact and liaison between the logistics person and sales people to coordinate smooth product fulfillment.
• Prepare equipment submittal drawings and manage document control workflows for review by industry partners.
• Update all project addendums and scope changes from clients across digital platforms like Outlook, OneDrive, Dropbox, and Procore.
• Input new bids accurately into internal project management systems while following up with clients regarding outstanding project approvals.
• File and organize digital documentation and communication efficiently to maintain an immaculate corporate record system.
• Provide exceptional customer service with a "Customer First" approach to enhance overall business administration efficiency.
• Report progress directly to the Sales Manager at the Air division to align daily activities with broader organizational goals.
Qualifications
• Proficient in advanced business administration tasks, electronic document management, and file archiving structures.
• Mastery of Microsoft Office Suite (Word, Excel, Outlook) and advanced PDF editing software (Adobe Acrobat, Nitro, or Bluebeam).
• Superior organization skills and the ability to reprioritize urgent tasks independently under minimal supervision.
• Strong written and verbal communication skills to coordinate between logistics and sales teams effectively.
• Exceptional initiative, self-motivation, and a demonstrated desire to learn technical industry-specific software.
• 3+ years of experience in an administrative support, sales support, or business administration role.
• Previous background or familiarity working within the construction or energy industry sector is highly preferred.
• Demonstrated ability to work completely independently as a proactive self-starter who takes complete ownership of assignments.
• Proven track record managing complex document control procedures, proposals, and project estimation files.
• Ability to work a 100% dedicated, in-office schedule to ensure seamless coordination with local sales staff.
