In this role you will work full time hours on a 5 month assignment supporting the Toronto Office. (working hybrid). Responsibilities
This position will be supporting two VPs with potential to support 1-2 more down the line. In addition to EA functions, this role will be responsible for in-office ordering and event planning/coordination.
• Greet and provide hospitality to all employees, visitors and guests
• Exhibit impeccable phone and communication skills with accuracy and good judgment in handling messages/callers
• Coordinate on-site client support for internal customers
• calendar management, organizing travel, managing expense reports, coordinating meetings
• Receive, document, sort and distribute daily inbound/outbound USPS, UPS and FedEx shipments
• Document Facilities specific aspects for new hires, onboarding and terminations
• Perform office clean-outs and coordinate employee asset returns
• Responsible for employee access control changes, quarterly audits and ID badge creation
• Maintain accurate seating charts for multiple Plex sites
• Work with landlord on building-related issues
• Internal and external meeting coordination, including catering, configuration, setup and clean-up of conference and meeting spaces
• Complete tasks in an accurate and timely manner
Qualifications
• 3+ years’ experience as an Executive Assistant
• Experience answering phones in a corporate setting
• Proven experience managing work calendars
• Ability to multi-task and manage conflicting priorities
• Proficient MS Office and MS Outlook skills
• Maintains professionalism in all situations
• Ability to work autonomously
