Responsibilities
1. Load Validation (Outbound)
Quality control: Check outbound loads to identify and correct errors or missing data.
System compliance: Update and validate appointments (APPT), routes, and carriers in the system prior to execution.
Anomaly management: Report inconsistencies and follow up on necessary corrections.
2. Appointment Management (Sales Orders)
Planning: Identify orders without appointments and coordinate scheduling with customers or carriers.
Real-time tracking: Continuously update the system to ensure traceability and avoid delivery delays.
3. Line-up Coordination
Daily follow-up: Confirm and adjust the transport schedule daily with the carriers.
Alignment: Communicate schedule or route changes to align field operations with the system.
4. Invoicing and Follow-up
Verification: Validate the compliance of transport invoices according to contracts and actual loads.
Disputes and archiving: Handle invoicing discrepancies and rigorously archive documents for audits.
Qualifications
- Student in logistics, transportation, operations management, administration, or a related field (an asset)
- Experience in administrative support, logistics coordination, or customer service, an asset
- Familiarity with the basics of transportation and shipping (orders, deliveries, carriers), an asset
- Excellent computer skills: navigating multiple systems simultaneously, fast and accurate data entry
- Comfortable with Microsoft Office, specifically Excel and Outlook
- Strong attention to detail and thoroughness in data entry and validation
- Autonomy and organizational skills, both on-site and working remotely, resourcefulness, and the ability to manage priorities in a fast-paced operational environment
