The ideal candidate will be experienced in handling a wide range of administrative and executive support-related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible, and enjoy the administrative challenges of supporting an office of diverse people and programs.

Responsibilities
Administrative Support:
Provide comprehensive administrative support to the Managing Director, including managing an extremely active calendar of appointments; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for meetings.
Communication Management: Act as the point of contact between the Managing Director and internal/external clients. Handle incoming calls and emails, responding appropriately when required.
Meeting Coordination: Organize and schedule meetings and appointments. Prepare meeting materials, take minutes, and ensure smooth logistics for all engagements.
Document Preparation: Prepare reports, presentations, and briefs. Manage, organize, and update relevant data using database applications.
Project Support: Assist with project management by coordinating with various teams and ensuring that all parties are on track with project requirements, deadlines, and schedules.
Financial Tasks: Assist with expense reports and monitoring of budget in collaboration with the finance department.
Office Management: Maintain office supplies inventory by checking stock and ordering new supplies as needed.
Qualifications
Strong organizational, project management and problem-solving skills.
Exceptional interpersonal skills.
Friendly and professional demeanor.
Advanced Microsoft Office skills, with the ability to become familiar with firm-specific programs and software.
Proficiency in collaboration and delegation of duties.
Strong written and verbal communication skills.
Ability to handle confidential information with discretion.
