Responsibilities
Project Tracking & Governance Mechanics
Maintain comprehensive project plans, actively identifying and highlighting critical dependencies, risk registers, decision logs, and action trackers using PMO tooling.
Identify schedule challenges, dependency conflicts, and resourcing gaps, bringing proactive recommendations to project leadership.
Reporting & Documentation
Prepare clear, concise executive status updates, team progress reports, and customized dashboard reporting.
Capture meeting notes, record decisions, and manage actionable tracking items arising from project meetings.
Utilize and maintain PMO automation tooling, including Excel data models and Power Automate workflows.
Due Diligence Support
Coordinate and track Due Diligence Q&A processes, document collection, and tracking mechanics across financial, tax, legal, and operational workstreams.
Cross-Functional Coordination
Track action items across Legal, Treasury, Tax, Controllership, and Technical Accounting, ensuring timely delivery from functional teams.
Coordinate multi-party document reviews and sign-offs across diverse corporate functions.
Qualifications
Experience: 5+ years of dedicated project coordination or PMO support experience, ideally with direct exposure to Joint Ventures (JV), M&A, or Capital Markets transactions.
Technical Skills: Advanced proficiency in Smartsheet and MS Excel (data modeling, complex formulas). Hands-on experience with report automation tools (e.g., Power Automate) is highly desirable.
Communication: Superior written and verbal communication skills with a proven ability to distill complex data into clear, concise executive summaries.
Project Management Capabilities: Strong ability to manage multiple concurrent projects with shifting priorities, evolving timelines, and tight deadlines.
Adaptability & Initiative: Self-starter capable of taking initiative and driving progress even when navigating incomplete or partial information.
