Responsibilities
The Receptionist is responsible for the following tasks:
• Welcoming and directing visitors and clients in a professional and courteous manner.
• Managing the phone system, screening incoming calls, and transferring communications.
• Receiving, sorting, and distributing mail, packages, and deliveries.
• Managing and coordinating meeting rooms, including booking and logistical preparation.
• Performing various administrative and office support tasks for the team (filing, photocopying, data entry, etc.).
• Keeping the reception area and common areas tidy and clean.
• Helping coordinate office supply inventory and placing orders.
• Handling general emails and responding to basic information requests.
Qualifications
To excel in this Receptionist role:
• Mastery of French (spoken and written), essential for daily communication in Quebec.
• Intermediate level of English *(desired for occasional interactions outside Quebec).
• Mastery of Portuguese (spoken and written).
• Proven experience as a Receptionist or in a similar front-desk/administrative role.
• Excellent customer service and interpersonal communication skills.
• Proficient in Microsoft Office (Word, Excel, Outlook).
• Strong organizational skills, attention to detail, and thoroughness.
• Professionalism and discretion when handling confidential information.
• Autonomy and proactivity in carrying out administrative tasks.
